Role purpose:

This role is responsible for ensuring the effective and efficient administration of exams by supporting the Exams Operations Manager and safeguarding the secure handling of confidential materials in line with compliance standards. The role ensures operational agility and appropriate contingency planning, including oversight of activities within the Confidential Materials Room (CMR).

As part of the implementation of the new Global Operating Model for Exams, this role is key to delivering high-quality exams operations at test centre level. It involves working with new systems and processes, embedding new ways of working, and ensuring consistent adherence to operational standards.

The role also promotes a strong culture of confidentiality and accountability within the team, while driving continuous improvement in the distribution, logistics, and secure handling of exam materials.

 

Main accountabilities:

Product & Service Support

  • Ensure secure handling, storage and distribution of exam materials in line with BC and awarding body standards, including CMR management.
  • Manage packing, reconciliation, tracking and return of materials, courier handover and results processing.
  • Escalate issues promptly and support continuous improvement in quality, efficiency and cost effectiveness.

Customer Support & Stakeholder Management

  • Respond to customer enquiries and resolve routine issues; escalate complex matters appropriately.
  • Proactively identify and flag risks impacting service delivery or customer experience.
  • Work closely with Operations Manager and cluster teams to ensure smooth exams delivery.
  • Build effective working relationships across the wider region.

Risk & Compliance

  • Maintain compliance with CMR, security and corporate risk policies.
  • Support audits, conduct regular checks and promote confidentiality standards within the team.

Finance & Resource Management

  • Support invoicing and reconciliation processes.
  • Monitor courier performance and manage stock, equipment and small-scale resources.

Managing Self & Others

  • Plan and prioritise work to meet deadlines.
  • Coordinate colleagues/suppliers where required and maintain professional development.

Accountabilities may be amended in line with business needs.

 

Education

  • Relevant university degree or equivalent experience

 

Role knowledge and experience

  • Minimum/essential
    • Experience in identifying and minimising risk
    • Experience in compliance environment
    • Experience of working in a high volume, busy operational environment, delivering to standard.
    • Track record of working in a tightly controlled process driven environment
  • Desirable
    • Education or work experience in logistics services sector.
    • Experience of supporting on delivery of computer-based exams.
