The British Council in Germany is seeking an Exams Assistant to ensure the smooth, secure, and efficient delivery of exams across various locations. This role is essential in supporting all stages of the exam cycle, including pre-exam preparation, test day operations, and post-exam processing. You will act as the main point of contact for venues and venue supervisors on test days, supporting the coordination, performance, and engagement of venue staff and examiners. You will also play a key role in resolving operational issues and ensuring effective communication with customers directly or through customer services.
A significant part of your responsibilities will involve the safe handling of confidential materials in line with compliance standards. This includes managing the movement and storage of materials in the Confidential Materials Room, preparing test day resources such as stationery, uniforms, banners, and IT equipment, and ensuring all materials are securely transported and tracked. You will also be responsible for scanning and submitting exam papers for marking and processing enquiries on results.
You will support the selection and setup of exam venues, manage the distribution of resources, and ensure all documentation and procedures are followed accurately. Your role includes inputting results into awarding body platforms, producing certificates, and escalating issues when necessary to adapt work plans and maintain service quality. You will also contribute to continuous improvement by using standardised systems and processes and performing financial tasks such as raising purchase orders and processing invoices.
Customer support is a key aspect of the role, requiring you to handle enquiries, identify complex issues for escalation, and proactively address incidents that may affect service delivery. You will ensure compliance with business assurance standards, support audits and performance reviews, and follow corporate risk management procedures to protect the interests of the British Council and its customers.
This role also involves planning and prioritising your own workload across multiple workstreams, monitoring the performance of colleagues or external suppliers, and participating in a duty officer rota that includes early mornings and weekend shifts. Qualifications & Experience:

Minimum / Essential
•    Experience in identifying and minimising risk.
•    Ability to understand compliance regulated procedures.
•    Working in a challenging environment against tight deadlines.
•    English language skills to the CEF B2 level
•    German language skills to the CEF B1 Level
Desirable
•    Experience of supporting on delivery of computer-based exams

 

Important information:

Pay Grade: 2/J
Salary: 1 279 EUR gross per month
Contract: Fixed-term – 1 Year

Work arrangement: Part-time (50%)
Requirement: Candidates must have the legal rights to work in Germany at the time of application and in future.
