Role Purpose
The British Council is the United Kingdom’s international organisation for educational opportunities and cultural relations. We build engagement and trust for the UK by fostering the exchange of knowledge and ideas between people worldwide. In Hungary, the British Council focuses on English, particularly Teaching and Examinations services. The teaching centre—reopened in 2011 as a “LITE” model—operates across two, soon to be three, partner locations and currently serves approximately 500 students per term. The well-established examinations business delivers around 7,500 exams annually, and several initiatives are underway to grow activity in English for Education Systems (EES), Self-Access Learning (SAL), Education & Society, and Arts in line with regional strategy. The Hungary operation comprises 15 employed staff.
Main Accountabilities
Finance and HR Administration
- Manage contracts, maintaining an accurate central repository, conducting periodic reviews, and ensuring all contracts include mandatory British Council clauses on Equality, Diversity and Inclusion (EDI), Child Protection, and Data Protection (GDPR).
- Oversee the personnel agenda, including maintenance of up-to-date staff personnel files.
- Manage local personnel processes in MyHR, including onboarding and ensuring all staff data is accurate.
- Liaise with Hungarian authorities as required (e.g., on-site checks of social security payments).
- Coordinate and monitor accounting and financial processes in collaboration with finance teams outside Hungary, and carry out local finance tasks.
- Support staff with local legal requirements at the start and end of employment contracts.
- Lead on procurement and administration, including SAP-related processes.
- Manage Citi banking arrangements.
- Oversee internal requirements such as risk assessment and management, Business Continuity Plan (BCP), and preferred supplier registers.
- Manage local requirements related to CD Tax, including staff registration, de-registration, sick leave reimbursement, and coordination with a payroll provider as required.
Premises and Equipment
- Manage the day-to-day running of the back office and ensure proper maintenance of daily-use equipment.
- Liaise with landlords on all facilities-related issues.
- Coordinate management of all premises (including embedded partner premises) in collaboration with the Teaching Centre and Exams teams.
- Provide local support to the Cluster IT Manager and the Global Service Desk.
- Conduct non-IT inventory checks in line with British Council requirements and support the Cluster IT Manager with IT inventory tasks (physical checks performed by the Cluster IT Manager).
Programme Support
- Provide administrative support to the Programme Manager in managing contracts and documentation related to programme delivery.
- Contribute to, attend, and support the organisation of training sessions, meetings, and events as needed.
- Handle internal communication with staff as requested by the Country Director for Hungary.
- Negotiate and finalise contracts in Hungarian for approval by the Country Director.
Counter Fraud
- Serve as the Counter-Fraud Focal Point in-country and provide additional support to the EU region Counter-Fraud network when required.
Compliance
- Fully comply with British Council Data Protection policies and standards.
- Adhere to British Council values and Corporate Performance Management standards and procedures.
Role-Specific Knowledge and Experience
Minimum / Essential:
- Organised, disciplined, and methodical approach to work; proactive and able to perform effectively under pressure.
- Ability to adapt to changing procedures and multitask with high accuracy.
- Experience in office and financial management.
- Facilities management experience.
- Strong IT skills, including proficiency in Excel and Word.
- General knowledge of Hungarian administration, systems, and employment laws.
Desirable:
- Previous experience in a similar role.
- Experience using SAP.
Language Requirements
- Excellent written and verbal communication skills in English (C1) and Hungarian (C2)
