Role purpose

 

 

The purpose of this role is to provide essential logistical and administrative support to the Teaching Operations team, ensuring the smooth and efficient running of daily teaching activities. Reporting to the Teaching Operations Manager or Coordinator, the Assistant supports the preparation of teaching spaces, materials and equipment, assists with venue checks and other logistical arrangements, and completes routine administrative tasks such as data entry, filing and document preparation. The role responds to day-to-day operational needs and requests from teaching staff, helping maintain operational readiness and contributing to a high-quality learner and teacher experience.

The role works closely with teaching staff and operational colleagues to ensure classrooms, materials, equipment and other resources are ready in advance of classes and that operational tasks are completed accurately and on time. The Assistant supports safeguarding and health & safety procedures through routine checks and reporting, and contributes to a positive, responsive and efficient working environment. The role requires strong attention to detail, responsiveness and a proactive approach to supporting the smooth execution of daily teaching operations.

 

 

Role Accountabilities

 

Customer Experience & Service Delivery: Receives and responds to customer enquiries, identifying complex issues that require resolution by others and referring them appropriately. Recognises the impact of incidents, including child protection incidents, behaviour management issues, complaints, resourcing problems, and logistical or technical difficulties, and proactively alerts the Team Leader to concerns that may affect service delivery or customer experience. Monitors the movement of Young Learner students during classes, ensuring they remain safe and on the premises, and escalates concerns to the Academic Team. Delivers administrative and customer services in line with agreed corporate procedures to maximise quality, continuity and efficiency. Provides logistical support for the organisation and delivery of teaching, registration, and other internal and external activities and events, including setting up classrooms in accordance with British Council standards and rearranging furniture and layouts with contracted staff. Proactively communicates and liaises with internal and external stakeholders to ensure effective coordination and delivery of services and activities.

 

Administration, Facilities & Operational Support: Supports day-to-day operational and administrative requirements, including clerical work, filing, scanning, archiving, document and database updates, and maintaining accurate records relating to the work area. Supervises administrative and logistical services and assists the Marketing Officer with maintaining records of promotional materials. Ensures classroom IWBs are functioning correctly by carrying out basic troubleshooting and escalating technical issues to the IT Technician as required. Reports premises and equipment maintenance issues to the Business Operations team. Monitors small-scale resources, cash and stock in line with established procedures, ensuring equipment and materials are available and ready for use when required. Monitors the cleanliness of the British Council building, ensuring classrooms and public areas meet British Council standards, particularly during class changeovers and after-hours support, and reports service provider issues to the Business Operations team. Acts as the point of contact for deliveries to the Teaching Centre.

 

Planning, Suppliers & Self-Management: Plans and prioritises own work activities, responding to changing requirements to ensure effective delivery of responsibilities across daily and weekly time horizons. Coordinates external contractors and suppliers to complete straightforward, time-limited activities in line with established procedures, monitoring completion against agreed quality and time standards to ensure efficient service delivery. Supports effective coordination of suppliers and services and maintains operational readiness by ensuring agreed activities, resources and logistical requirements are completed accurately and on time.

 

Qualification and Experience

 

Essentials

 

  • High School Certificate
  • University Graduate or Diploma in any field
  • Minimum of 1 year of full-time work experience

 

Desirable

 

  • Experience of working in an educational institution
